Position Description

The student services manager (SSM) in the Department of City and Regional Planning will be responsible for:

Course scheduling

  • In consultation with the Academic Program Coordinator and Associate Chair, the SSM will develop the departmental course schedules for fall, spring and summer and assume full responsibility for course data entry into the scheduling and room assignment platforms
  • Work with faculty to maintain and update the program catalog

Admissions

  • In consultation with the Academic Program Coordinator and the Director of Admissions, the SSM will coordinate all aspects of the application and admissions process
  • Primary point of contact for applicant inquiries
  • Process admissions decisions
  • Participate in the applicant review process by coordinating and supporting the admissions committee
  • Manage the application process for the Natural Hazards Resilience certificate, in coordination with the faculty certificate director

Student affairs

  • Track and communicate progress to degree status for all students in the program
  • Complete graduation clearance checks for all students
  • Serve as the department’s registrar and assist students in adding/dropping/changing classes as needed

Student funding

  • Enter all student financial awards into the appropriate systems, including HR stipends for TAs/RAs, tuition, fees, health insurance, non-service stipends and travel awards and reimbursements for all departmentally funded students (both domestic and international)
  • Complete the hiring process for students employed by the department, including completion of i-9 forms, and submission of hire actions (ePars in Connect Carolina)

Student events

  • Coordinate recruitment, onboarding and orientation activities
  • Coordinate career and professional development events
  • Support student organizations, faculty and staff in the coordination of events such as guest speakers and workshops
  • Coordinate commencement activities

Other duties as assigned.

 

Minimum Education and Experience Requirements:

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Professionalism: ability to cultivate productive working relationships with faculty, staff and students by delivering excellent customer service, developing a knowledge base to draw upon to become a reliable resource for students, faculty and staff in the department
  • Communication: ability to communicate clearly and effectively in writing, and verbally, including preparing and delivering presentations
  • Critical thinking and problem-solving: ability to think creatively, interpret policies, think through tasks and develop strategies considering policy and logistical constraints
  • Team work: willingness to contribute and share ideas, ability to take initiative and ownership of projects and work with students, faculty and staff as part of a team
  • Data management: ability to work with data in Excel, organize, interpret, and communicate analysis
  • Time management: ability to manage time effectively, prioritize projects, communicate, and meet deadlines, willingness to ask for help when needed

Preferred Qualifications

Strongly prefer candidate with experience in student services, student funding, course scheduling and event planning along with knowledge of university systems, policies, and procedures. Experience with Connect Carolina, InfoPorte, and 25Live are a plus.
